A polished draft is not necessarily an accurate draft. A short, repeatable review helps an officer identify errors before returning to the material for court. Use this checklist with authorized original records and applicable agency guidance.
1. Check identity before language
Match the summons number, incident date, location and vehicle information. Look for swapped digits, missing route details and repeated records. Do this before polishing sentences: editing the wrong case efficiently is still the wrong result.
2. Trace the sequence
Read the account in chronological order. Can you distinguish your initial observation, the vehicle's movement, the subsequent contact and later information? Move misplaced details rather than implying you knew everything at the start. Do not add timestamps merely to make the sequence appear precise.
3. Separate observation from inference
Identify what you personally saw, heard or measured and what came from a document or another source. Remove statements about intent or circumstances that the source material does not support. Where your recollection is limited, retain that limitation rather than replacing it with confident language.
4. Verify the reference
Check the jurisdiction, law label and complete subsection against the relevant official source. A result title alone is not enough. See Violation Codes / Summonses for the lookup workflow and retain any verification notes with the appropriate case.
5. Check the version you will use
Read the full draft after editing, not just the changed paragraph. Confirm that any exported copy contains the corrections and the right case identifiers. Do not treat a saved or exported file as automatically filed with a court.
Use the checklist every time
Repeat the same checks on a familiar violation and an unfamiliar one. The purpose is accuracy, not making accounts sound identical. Keeping the draft with its summons information makes future review easier. Follow local rules on preparation and consult the appropriate agency or legal contact for case-specific questions.
